We are looking for an experienced professional Office Coordinator to support our Front Desk, answering phones and greeting visitors. An Office Coordinator who has the ability to multitask and act as the point lead person in all functions administratively within the office. Qualified candidates can work effectively in the fast-paced Commercial Industry. Candidates must have proficiency in Microsoft Outlook, Word and Excel, and Fed Ex and USPS systems.

What youll do...

  • Answers the telephone, and screens and routes calls to the appropriate personnel, and takes messages when necessary
  • Greets in-person visitors and clients
  • Maintains voicemail system and transcribes messages
  • Retrieves and distributes incoming faxes
  • Distributes incoming mail and packages, and prepares outgoing mail and overnight packages at the Corporate Headquarters
  • Must have technical knowledge and experience in using Fed-Ex and USPS software
  • Updates contact list, extension list, and cellphone list
  • Generates correspondence and other documents, and provides administrative assistance as necessary
  • Performs clerical duties including filing, copying, and collating documents
  • Maintains and orders office supplies, kitchen supplies, beverages, and condiments
  • Manages a records keeping database
  • Organize travel and hotel accommodations for all new hires
  • Performs office duties, provides general administrative support, and handles basic bookkeeping tasks
  • Schedules messengers as needed
  • Self-starter, highly driven, passionate, and enthusiastic
  • Must be professional and confidential
  • Experience as a virtual assistant
  • Performs other related duties and assignments as required

What youll need...

  • Associate degree, or equivalent from two-year college or technical school; or six months to one year of experience in a busy office environment (preferably in construction); or equivalent combination of education and experience
  • Construction accounting background is a plus
  • Computer skills including E-Mail, MS Outlook, MS Excel, and MS Word
  • Requires knowledge of basic office equipment and procedures including the operation of a multi-line telephone system
  • Proven experience as an Office Coordinator or other relevant administrative support and front desk experience
  • Candidate must be extremely fast at solving problems and working in a fast-paced environment
  • Ability to organize a daily workload by priorities
  • Must be able to meet deadlines in a fast-paced, quickly changing environment
  • Have a proactive approach to problem-solving
  • Must be flexibility with schedule to meet business needs (BlueTeam is an emergency services-based company)
  • Professional level verbal and written communications skills
